Job Description

SSP Local Event & Outreach Coordinator – Dallas, TX

Department: Marketing / Field Marketing

Location: Dallas–Fort Worth, TX (field-based, local travel required)

Employment type: Full-time

About the Role

SSP is looking for a Local Event & Outreach Coordinator to own community and in-person event activity for the Dallas market. You will plan and run local events that put SSP-supported dental practices in front of their communities, such as health fairs, school and corporate partnerships, patient appreciation days, sponsorships and grand-opening or open-house events. You are the on-the-ground face of SSP in Dallas: building relationships with practice teams and local organizations, executing flawlessly, and proving the events drive new patients and brand awareness.

What You'll Do

Plan and execute local events

  • Build and manage a quarterly Dallas event calendar aligned with market and practice growth goals.
  • Identify, evaluate and secure event opportunities: community fairs, school and youth sports sponsorships, employer wellness days, chamber and networking events, and practice-hosted events.
  • Manage the full event lifecycle: planning, budgeting, vendor and venue coordination, permits and insurance, logistics, staffing, setup and teardown, and post-event follow-up.
  • Coordinate event materials with support of centralized SSP marketing team: booth, signage, giveaways, branded collateral, and patient or lead capture tools.

Partner with practices and local teams

  • Act as the main point of contact for practice owners, office managers and teams on event participation.
  • Train and prep practice staff to represent SSP and their office well at events.
  • Collaborate with regional leadership, marketing and operations so events support new-patient and retention goals.
  • Support local team execution of strategic activities to grow provider and word-of-mouth referral network — serving as boots-on-the-ground outreach for external office and B2B visits.

Build community relationships

  • Develop and maintain relationships with local schools, employers, civic groups, nonprofits and event organizers.
  • Represent SSP and the office or brand (as applicable per practice) professionally at community events and networking functions.

Measure and improve

  • Track event budgets, attendance, leads captured, appointments booked and new patients attributed to each event.
  • Report results and recommendations to leadership and use them to refine the event mix.
  • Ensure lead capture and follow-up happens promptly after each event, in coordination with practice front-office teams.

Compliance and brand

  • Keep all events consistent with SSP brand standards, and with HIPAA, advertising and patient-privacy requirements.
  • Manage event inventory, supplies and equipment in good order — requesting stock or new materials to be designed as determined.
What You Bring

Required

  • 2+ years of experience in event coordination, field marketing, community outreach or a similar role.
  • Strong project management skills, with the ability to run several events at once and meet deadlines.
  • Excellent communication and relationship-building skills, in person and in writing.
  • Comfortable with budgets and basic reporting (Excel or Google Sheets).
  • Reliable transportation, a valid driver's license, and flexibility to work evenings and weekends as events require.
  • Able to lift 40 lbs and to set up and break down event spaces.
  • Working knowledge of the Dallas–Fort Worth area.

Preferred

  • Experience in dental, healthcare, or multi-location / DSO environments.
  • Experience with CRM or lead-tracking tools and event ROI reporting.
  • Experience with project or task management software (Smartsheet) is a plus.
  • Bilingual (English/Spanish).
  • Familiarity with social media and local promotion.
What Success Looks Like
  • First 30 days: Learn SSP's Dallas practices, brand standards and playbooks. Meet practice leaders. Audit existing event relationships and past results.
  • First 90 days: Launch a quarterly Dallas event calendar and execute the first wave of events on budget. Set up consistent tracking of leads and new patients per event.
  • First year: Deliver a repeatable, measurable event program with clear ROI, strong practice partnership and a growing network of community relationships.
Key Metrics
  • Events executed vs. plan
  • Leads and new-patient appointments generated per event
  • Cost per lead / cost per new patient
  • Practice and partner satisfaction
  • Budget adherence
Working Conditions
  • Field-based role across the Dallas–Fort Worth market with regular local travel. SSP’s 7 Dallas-Fort Worth office locations span an approximate 50-mile radius in the DFW market.
  • Frequent evening, weekend and outdoor event work.
  • Compensation and benefits: (to be added)
