About the role
About West End Entertainment
West End Entertainment is an NYC-based independent record label dedicated to revitalizing artist development in the music industry. With a focus on empowering creatives, West End operates across artist management, distribution, and full label services. We're a small, collaborative team driven by a passion for music and artist success.
Role Description
West End Entertainment is seeking a full-time A&R Admin Intern to join our on-site team in Manhattan. This role sits where A&R, publishing, marketing, and business operations meet. You'll help keep releases, catalog data, campaign timelines, and deal paperwork organized and accurate. You'll also support our efforts to create new opportunities for our artists through sync pitching.
Success in this role looks like:
• Learning how the business side of a label actually works.
• Keeping our catalog, trackers, and release calendars clean.
• Helping deadlines and deliverables stay on track.
• Becoming a dependable part of the team.
You'll work directly with the label's leadership and get hands-on exposure to publishing, sync, marketing, and A&R operations. This is an unpaid internship.
Responsibilities
A&R & Business Admin
• Assist with day-to-day business administration for the A&R department, including tracking agreements, invoices, budgets, and approvals.
• Coordinate schedules, release timelines, and deliverables across artists, producers, and internal teams.
• Keep shared drives, trackers, and reporting organized so information is easy to find and act on.
Publishing & Catalog
• Support the publishing team in preparing and collecting split sheets, songwriter and producer information, and metadata for new releases.
• Help with song and recording registrations with PROs, The MLC, SoundExchange, and other relevant organizations.
• Maintain an organized, up-to-date catalog database, including masters, stems, instrumentals, credits, and ownership details.
Sync
• Research sync opportunities and build lists of music supervisors, ad agencies, trailer houses, and sync libraries.
• Assist with pitching catalog and roster music for film, TV, advertising, gaming, and digital content, and track pitches and outcomes.
• Help prepare sync assets, such as clean versions, instrumentals, stems, and one-sheets.
Digital Marketing Operations
• Build and maintain release rollout timelines and marketing calendars, and flag upcoming deadlines to the team.
• Track campaign deliverables (artwork, content, assets) from artists, creatives, and vendors so everything arrives on time.
• Manage release checklists, including DSP pitch deadlines, pre-save and smart link setup, and distributor delivery dates.
• Organize and maintain the marketing asset library across releases and artists.
• Coordinate schedules, invoices, and communication with outside partners such as PR, playlisting, and ad vendors.
• Pull streaming and social analytics into regular reports, and track ad spend against campaign budgets.
Qualifications
• Exceptional attention to detail. You catch the typo in a split sheet before it becomes a royalty problem.
• Strong organizational skills, with the ability to multitask and handle administrative duties.
• Interest in project management. You like timelines, checklists, and seeing a plan through to launch day.
• A demonstrated willingness to learn, and the initiative to ask questions and take ownership of tasks.
• Clear, professional written and verbal communication skills.
• Proficiency with Google Workspace and/or Microsoft Office.
• Ability to work on-site in Manhattan on a full-time schedule.
• A passion and hunger for working in music.
• No prior experience is necessary. Experience or coursework in music business, publishing, sync, marketing, or label operations is preferred.
